How to update the modem return status?

How to make a Costumer Service representative to update my modem return process. Which is ended for more than month now and I keep receiving emails about charging me! I have the prove of delivery.

Please rest assured, that the e-mails are sent by the system automatically, once we have your modem status an e-mail will be sent your way regarding this situation.
The modem return depends on Post Canada and how fast they register the order into our system after they've delivered it.
